Glenelg Shire Council Phone System upgrade Document Set ID 2618960

Consultation has concluded.


It's an exciting time at Council for upgrades! We are about to upgrade our telephone system to integrate with other applications.

In order to do this we will be migrating away from old traditional style desktop telephones and onto a new system where your computer will be doing the work of the phone and you will use a headset to communicate.

The software product we are migrating to is called Microsoft Teams and the phone system section within Teams will look like this:


There will be training before and after the roll-out. Roll-out is planned within the next couple of months.

Please note: All staff will be allocated a standard headset unless there is a specific business use i.e. Customer Service, Child Care Centres, Meeting Rooms.

Once received your headset is for your use only. Headsets are not to be shared between staff members for hygiene reasons. Headsets must be stored in a way that minimises the risk of them being contaminated by other substances and materials.

If you feel there is a reason to have another type of device allocated for your use, you will need to undertake the following steps;

  • Complete a Business Case form (located in ECM - Doc. Set ID 2101963) or in the Document Library to the right of screen)
  • Confirm the support of your supervisor or manager
  • Use your budget to purchase the alternative device.

IMPORTANT INFORMATION REGARDING PHONE LINE TRANSITION

The phone lines will be transitioning across on the 28th June 2019 in the morning. Telstra has advised the transition must be done during working hours. The transition is occurring in the morning as this is the recommended time to ensure the works are completed quickly. Please see below for details on times for each site:

  • Portland 8:00am
  • Casterton 9:00am
  • Heywood 10:00am

It is expected it will take Telstra around one hour to transition the lines at each site. During this time the phone lines will be down and mobile phones will need to be used for all phone calls. Please see a member of the IT unit if you wish to discuss further.

IT will have roaming IT support at different Council locations on the 28th June to assist users with the phone transition. A further training session will be held on this day for staff to attend if they wish.
