Privacy Statement

Glenelg Shire (“Council”) manages your personal information in accordance with the Privacy and Data Protection Act 2014 (Vic) (“PDP Act”). Your Say Glenelg is Glenelg Shire Council’s online engagement platform. 

Purpose 

Council uses Your Say Glenelg as a tool for conducting community engagement and information sharing to help inform and shape corporate plans, infrastructure projects, awards and events, and documents including but not limited to Policies and Strategies 

We collect this information to: 

  • analyse and interpret it to help meet our objectives and obligations; 

  • communicate information to you about engagement opportunities, events and other initiatives; and 

  • respond to enquiries and otherwise engage with stakeholders. 

When you engage with Council via Your Say Glenelg we collect the content you create as part of your interactions with this website, including but not limited to survey submission, Ideas boards, discussion forums, or any other engagement tool and your usage of the site - such as pages visited, documents downloaded, etc. 

 We also collect the profile information you enter when you register to use this site and this may include your email address and additional demographic information as provided by you on the registration form. 

Collection and Use of Demographic Information 

As part of our community engagement activities, we may ask for optional demographic information such as age, gender, location, or cultural background. We collect this information to help us understand who is participating in our engagement activities and to ensure we are hearing from a broad and diverse range of community members. 

This information helps Council to: 

  • Identify which community groups are represented or underrepresented in feedback. 

  • Understand different community needs and perspectives. 

  • Plan and deliver services, projects and policies that are fair and inclusive. 

  • Evaluate and improve the way we engage with our community. 

Providing demographic information is voluntary, and you can choose not to answer these questions. Any demographic data you provide will be stored securely and reported only in a combined or de-identified form so that individuals cannot be identified. 

Sharing 

Submissions received via Your Say Glenelg may be shared between Council departments and to Glenelg Shire Councillors as required in the performance of the functions of Council. 

At times, the project may involve a copy of your submission being publicly available at Council meetingwhich is a public event.  WheYour Say responses are included in a Council Meeting Agenda, all personal information will be de-identified. 

At times, the Council may be legally required to disclose personal information, for instance to the police, or as required by law. 

The Council’s contractors may be service providers external to the Council, such as Granicus LLC.  This site is owned and operated by Glenelg Shire Council using software licensed from  Granicus LLC. If you choose not to provide your personal information, we may not be able to use your response in our community engagement management We accept anonymous responses, however we will be unable to provide feedback, responses or an outcome to you without your contact details.
